1. Booking and Payment

1.1: Invoices will be issued upon request for a booking. A 20% deposit will be required to secure your booking. (For bookings completed online, the fee charged up front is considered the deposit)

 

1.2: The remaining balance must be paid before the delivery of the final photos.

 

1.3: Draft previews of the photos will be provided; however, these will be watermarked and must not be posted online or shared publicly in any way.

 

1.4: Payment can be made via the agreed payment methods.

 

1.5: For the purposes of invoicing and client communication, a name, email address, and phone number will be requested upon booking confirmation and will be held until the final images are delivered. After that, all names/contact details will be deleted.

 

2. Cancellations and rescheduling

2.1: I understand that things can come up in our lives. 

If I need to cancel a session for any reason (excluding weather conditions), I will offer either a full refund or a session on a new date.

 

2.1 a: Cancellations/refunds: When a cancellation request comes from a customer, refunds will be considered by the following process:

 

• More than one week’s notice - full refund issued.

• Less than one week's notice - 75% refund of the full amount.

• Less than three days' notice - 50% refund of the full amount.

• Less than 24 hours' notice - No refund.

 

2.2: Rescheduling: In the event that a customer needs to reschedule a session, there will be no fee if they reschedule at least 5 days before the initial session. Rescheduling requests after this time frame may incur a $50 administration fee.

 

2.3: In the event of sickness, emergency or any other unforeseen circumstances, then the session can be rescheduled without penalty.

 

 

3. Session details

 

3.1: Sessions will start at the time scheduled, even if the client arrives late. Late arrivals do not extend the booking.

 

3.2: If multiple locations are being utilized, the time taken to travel between locations will be excluded from the session time (ie 10 mins spent travelling to location #2 will NOT eat into your session time however, locations further than 10 km apart will incur mileage charges at the rate of $1.75 per km which will be calculated from the starting point of travel

 

3.3: Locations further than 20 km from Dunedin city centre (The Octagon) will incur a travel fee, subject to $1.75 per km which will be calculated from the starting point of travel (this fee covers both vehicle mileage and a travel rate).

 

3.4: Overtime beyond the scheduled session may be charged at $150 per hour.

4. Images and delivery

 

4.1: Only edited images will be provided; no RAW/unedited files will be provided under any circumstances.

 

4.2: Edited images will be delivered via an online gallery within 2 weeks of the session, unless otherwise advised.

 

4.3: The number of final images will match the package selected.

 

4.4 Additional images may be purchased for the fee outlined.

 

4.5 It is the client's responsibility to download and save any images before the gallery expiry. Rhyan G Photography are not liable for the loss of any images not downloaded during the allotted timeframe, and an administration fee of $50 may apply to resend expired galleries.

5. Image usage and copyright

 

5.1: Rhyan G Photography retains full copyright of all images.

 

5.2: Clients will receive a personal license for non-commercial use.

 

5.3: The client may not change edits, apply filters, or remove any branding/watermarks without prior written permission.

 

5.4: Images captured may be used by Rhyan G Photography for portfolio, social media and promotional purposes unless otherwise agreed in writing.
